Sanplex Free 4.0: Built-In AI and Everyday Improvements

Sanplex today announced the availability of Sanplex Free 4.0, a major new release of the self-hosted edition that brings built-in AI assistance, a richer document workspace, a more reliable migration path from Jira, and a long list of day-to-day improvements.

Note: Sanplex Free 4.0 is available for the self-hosted edition only. The Sanplex cloud edition remains on its current version, and cloud availability will be announced separately.

AI Assistant, Built into Sanplex

Sanplex Free 4.0 brings AI assistance inside the product rather than leaving it in a separate browser tab. The AI service configuration now allows OpenClaw to be registered as an intelligent assistant within Sanplex, and the Sanplex Agent panel can hold a conversation with it directly.

The practical difference is where the assistant lives. Because the Agent panel sits alongside the projects, tasks, and documents a team is already working in, there is no separate application to switch to and no context to re-establish by hand - the conversation happens where the work happens.

Note: OpenClaw integration is still at an early stage of development. It should not be used in production environments or with sensitive data while enhanced security isolation and permission controls are being rolled out.

Documents That Do More

Documentation sits at the center of how teams share context, and this release invests heavily in it:

• Copy documents to reuse an existing structure and its content instead of rebuilding both from scratch.
• Preview common attachment types online, so reviewers no longer have to download a file just to check what is in it.
• Create link-type documents that reference external resources without duplicating them into the workspace.
• Per-list pagination is remembered. Each data list inside a document keeps its own page position, so returning to a long document no longer means losing your place.
• Opening a document through a link auto-locates and highlights the current document in the left-hand outline, which matters most in deeply nested document trees.
• Multi-level headings now differ in font size by level, making long technical documents far easier to scan and navigate.
• The outline panel is easier to resize, with a larger hot zone for dragging its width.

A More Reliable Path from Jira

Jira data can be brought into Sanplex through an API-driven import, which makes bulk migration practical for organizations that would otherwise face manual export and re-entry.

The retrieval layer behind that import was reworked. Project, build, issue, issue type, issue link, user, priority, resolution, status, custom field, custom field option, workflow action, sprint, and project member data are now fetched into temporary storage first, and the import then runs from that local snapshot instead of holding open live API connections throughout. The import flow was also reordered so that all data is retrieved before the import begins.

In practice this means large migrations are steadier, easier to retry when something upstream changes, and far less likely to fail partway through with no clear cause.

A Long List of Everyday Improvements

Sanplex Free 4.0 also takes aim at the small frictions that accumulate over a working week.

Testing and Quality

• Case version syncing is safer, with confirmation prompts added wherever a sync is triggered — in cases, in test tasks, and in suites.
• Case changes can be handled in bulk, with batch confirm and batch ignore available from test tasks, suites, and test case lists.
• Search arrives where it was missing: test reports, test request lists in the organization, project, and execution views, and pending test requests in My Work.
• Pending case lists in My Work support batch execution, cutting a repetitive click-by-click routine down to one action.
• Viewing by suite now shows each case's version within its own case list, and the previous "Suite" label has been renamed to make the view's purpose obvious.
• Bug reporting is tighter: the simplified bug creation page has a cleaner field arrangement, and the source case field is now available when creating or editing bugs in bulk.

Products and Stories

• New products automatically create a same-named application, removing a manual setup step.
• Escaped bugs are visible on releases, putting a quality signal directly next to the thing being shipped.
• Stories can be submitted for review straight from the story list, and batch submission is supported for entire selections.
• Parent story information can be synced down to child stories, so changes propagate without being retyped.
• Prompts point out what is still open. Closing a parent task or parent story now tells the user which child items remain unresolved.
• Batch conversion to tasks has clearer messaging, and the create-task buttons in the execution story list explain themselves when they are greyed out.

Notifications

• @ mentions now trigger notifications. After a mention is saved in the editor, the person mentioned receives a message, so stakeholders hear about it immediately rather than discovering it later.
• @ notification behavior is configurable from the notification settings, so teams can tune how much noise the feature generates.

Personal Workspace

• Administrators can list external users, and those users can now be assigned wherever people are referenced — no more dead ends when collaboration crosses organizational boundaries.
• Restricted pages still show the top-level navigation, so users do not lose their bearings when they land somewhere they cannot fully access.
• The execution navigation dropdown supports searching by project, which is a significant shortcut for anyone working across many projects.
• Recently viewed documents and documents I edited now default to the most recent activity first.
