Summary: Learn how to configure My Space permissions and manage spaces, libraries, directories, and chapters in Sanplex, including creating, viewing, editing, and deleting each level of the document structure.

In Document, Sanplex provides My Space for organizing documents within spaces and libraries. Users can create spaces, manage libraries within each space, and organize documents using directories and chapters.

The My Space home page displays available spaces and their libraries. After entering a space or library, you can manage the corresponding document structure and content.

This section explains how to configure permissions and manage spaces, libraries, directories, and chapters in My Space.

I. Assign Permissions

1. Browse Permissions for My Space

Go to Admin > Users > Permission and select Document Management.

Under Permission Sets, select View Docs, then configure access to My Space and other document views as needed.

2. Operation Permissions for My Space

To configure document management operations, select Manage Docs under Permission Sets. Available methods include actions such as Create Space, Create Library, Edit Space, Edit Library, and other document management operations.

Assign the required permissions based on the responsibilities of each user group.

II. Manage Spaces

1. Create a Space

Go to Document > My Space and click Create Space in the upper-right corner.

Sanplex includes a built-in Default Space. You can use the default space or create additional spaces to organize libraries and documents.

2. View Spaces

Click My Space in the top navigation to open the My Space home page.

Available spaces are displayed on the page, together with library cards when libraries exist within a space. Click Enter Space to open a space and manage its contents.

3. Maintain Spaces

Click the Settings icon for a space to open the available management actions. You can select Edit Space or Delete Space.

When you delete a space, Sanplex displays a confirmation dialog stating that the associated libraries, directories, and documents will also be removed. Click Confirm to proceed or Cancel to keep the space.

III. Manage Libraries

1. Create a Library

After entering a space, click Create in the upper-right corner and select Create Library.

In the Create Library dialog, select the target Space and enter the Library Name. You can also configure the default document order and access control.

The displayed access control option is Private, which makes the library accessible to its creator.

Click Save to create the library.

2. View Libraries

On the My Space home page, libraries are displayed under their corresponding spaces. Each library card shows the library name and the number of documents it contains.

Click Enter Space to view the libraries within a space.

3. Maintain Libraries

On the My Space home page, open the More menu on a library card to manage the library.

Available actions include Edit Library and Delete Library.

IV. Manage Directories and Chapters

1. Create a Directory or Chapter

When a library contains no directories, click Add Directory in the left navigation panel to create one.

When working in an existing library, you can also open the settings menu at the bottom of the left navigation and select Add Directory.

The same menu provides access to Edit Library and Delete Library.

For an existing chapter, open its action menu to create another level of document structure. Available actions include Add Sub-chapter, Add Sibling Chapter, and Add Child Document.

2. Maintain Chapters

Open a chapter's action menu and select Edit chapter to modify it, or Delete chapter to remove it.

In the Edit Chapter dialog, you can update the Chapter Name, Library, Parent, and Access Control, then click Save.
