Summary: Learn how to create a Kanban board and organize work using Areas, Lanes, Columns, WIP limits, and Sub-columns in Sanplex.

Within a Kanban board, Sanplex uses Areas, Lanes, and Columns to organize work. Areas divide a board into different work contexts, lanes provide an additional horizontal grouping within an area, and columns represent workflow stages.

I. Create a Kanban Board

Using a Collaboration Space as an example, click Create Kanban.

In the Create Kanban form, select the space type and associated Space, enter the Kanban board Name, and configure the Owner and Team as needed. The form also provides settings for column width, item import, archiving, progress management, alignment, and the board description.

Click Save to create the Kanban board.

II. Areas

Use case: Areas are suitable for organizing larger projects or business plans into separate work contexts. For example, different stages, business functions, or workstreams can be managed in separate areas while remaining visible on the same Kanban board.

A Kanban board includes a Default Area. The All Area view displays the areas on the board together. Additional areas can be created as needed, and each area can be expanded or collapsed.

III. Create an Area

Open the More menu in the upper-right corner of the board and select Create Area.

In the Create Area dialog, enter an Area Name, select an Area Style, and click Save.

IV. Maintain Areas

1. Edit and Delete Areas

Open the More menu and select Edit Area to modify an area or Delete Area to remove it.

2. Sort Areas

Select Sort Areas from the More menu to change the display order of areas.

In the Sort Areas dialog, drag the areas into the required order, and then click Confirm.

V. Create a Lane

Open the More menu and select Create Lane.

In the Create Lane dialog, enter a Lane Name and select a lane color.

For Columns in Lane, you can either:

  • Use the same columns as other lanes, and select the lane whose columns you want to share; or
  • Use independent columns for the new lane.

Click Save to create the lane.

VI. Lanes and Columns

Use case: Lanes can divide work by functional area, business type, priority, or other organizational dimensions. A simple workflow can use a single lane, while more complex boards can use multiple lanes.

1. Default Workflow Columns

The default lane uses the following workflow columns:

Waiting → Doing → Completed → Closed

These columns represent the progression of work items across the Kanban workflow.

2. Multiple Lanes

Additional lanes can be created within an area as needed. Each lane is displayed horizontally across the same workflow structure.

VII. Maintain Kanban Columns

1. Configure a Column

Click the More button in a column and select Column Settings to configure the column.

2. Set a WIP Limit

Click the More button in a column and select WIP Settings to configure the column's Work-in-Progress (WIP) limit.

When the number of cards exceeds the configured WIP limit, Sanplex displays a warning on the column.

3. Sort Columns

Click the More button in a column and select Sort Columns.

In the Sort Columns dialog, drag the columns into the required order and click Confirm.

VIII. Create Sub-columns

Click the More button in a column and select Add Sub-column.

In the Add Sub-column dialog, enter the Sub-column Name and configure the WIP Counts setting for each sub-column. Additional sub-columns can be added using the plus button. Click Save when finished.

After sub-columns are created, the parent column groups them under a shared column heading. Each sub-column displays its own card and WIP counts.
